I’ve seen too many couples fall head-over-heels for a gorgeous view, only to be blindsided by hidden fees, "crap closet" rain plans, and logistical nightmares. Before you put down that deposit, you need to go in armed with these 10 non-negotiable questions to separate the transparent venues from the ones with sneaky surprises.
Section 1: The Logistical & Capacity Traps
1. What is the real capacity for a seated dinner with a dance floor?
Venues love to advertise their maximum legal capacity. But 150 people standing for cocktails is very different from 150 people seated for a three-course meal with room for a conga line. If your guest count is right at their limit, the room will feel cramped and your dance floor will be a tiny square in the corner. Ask for the "comfortable" number, not the "legal" one.
2. Are there any required or preferred vendor lists?
This is the biggest budget killer. Some venues force you to use their in-house caterers or a tiny list of "approved" suppliers. If you’ve budgeted for a specific food truck or an affordable caterer and the venue says "no," your budget just went poof. Get this list in writing before you sign.
3. Where is the Rain Plan located (and can I see it)?
In Melbourne, a backup plan isn't a "maybe"—it’s a "must." Don't just take their word that they have a plan B. Ask to walk into that space. Is it a beautiful indoor alternative, or is it a storage closet with a mop in the corner? You need to love Plan B just as much as Plan A.

6. What is the cancellation and deferral policy?
It's not romantic, but it's vital. Life happens. You need to know exactly what happens to your deposit if you have to postpone or cancel. Look for specific terms regarding moving your date to the next calendar year. This is your financial shield.

7. What is the Vendor Load-In and Load-Out policy?
Your florist, DJ, and stylist need time to work their magic. If a venue only allows a two-hour setup window, your vendors might charge you "rush fees" because they have to double their staff to get the job done. Make sure the venue's schedule supports your creative team.
8. How is the bar tab managed?
If you aren't doing a flat beverage package, you need a "ceiling" alert. Can the staff notify your Maid of Honour or Coordinator when the tab hits a certain amount (e.g., $8,000)? You want to decide whether to extend the tab or switch to a cash bar before you get a surprise bill on Monday morning.
9. Where can we conduct the legal signing?
As a Celebrant, this is my big one! We need a quiet, well-lit, and attractive spot to sign the official certificates. It shouldn't be a dark hallway or a crowded corner. A great venue will have a designated, photogenic spot ready for this moment.
10. Do you provide a Day-of Coordinator or just a Venue Manager?
There is a huge difference.
A Venue Manager looks after the building, the staff, and the food.
A Day-of Coordinator looks after you. They cue your music, manage your outside vendors, and keep the timeline on track. If they only provide a Venue Manager, you’ll likely need to hire an independent coordinator to ensure the day actually runs smoothly.

Venue hunting requires confidence, and confidence comes from preparation. A transparent venue is a venue you can trust. Take this list with you, take notes, and don't be afraid to ask the tough questions!
